The National Airlines Council of Canada (NACC) represents Canada’s largest passenger air carriers:  Air Canada, Air Transat, Jazz Aviation LP and WestJet.  We promote safe, accessible, sustainable and competitive air travel by advocating for the development of policies, regulations and legislation to foster a world-class transportation system.  Our efforts shape crucial policies and measures that promote a Canadian airline industry as a model of safety, customer service and environmental responsibility.

NACC is in search of an Executive Assistant (EA) to join our team.  Reporting to the President & CEO, the mandate of this role is to provide support to the President, 2 Directors, and the Board of Directors with respect to financial, administrative, IT, and other matters relevant to the effective operation and functioning of the association.

The EA will work closely with NACC staff and members in the following areas:

Financial:

  • Compiles invoices, expense receipts and statements for approval and payment
  • Liaises with bookkeeper and auditors for annual audit
  • Issues NACC invoices and cheques as required
  • Monitors NACC’s bank account, and forwards statements to bookkeeper

Communications:

  • Formats NACC documents, and coordinates translation as required
  • Updates NACC directory and email contact lists
  • Uses WordPress program to post resource docs, news and updates to NACC’s website
  • Uses MailChimp program for online newsletter and email distribution
  • Maintains shared e-filing system (incl. branding files for company logos, photos etc.)
  • Coordinates with printing company on office printing requirements

Meetings & Events:

  • Coordinates availability, organizes meetings with MS Teams, books boardroom/venue and catering as required
  • Uses Wix program for online attendee registration as required
  • Takes Meeting Notes for weekly executive meetings, drafts agenda and minutes for bi-annual Board meetings and annual AGM

General Office:

  • Liaises with IT Department for staff computer, cellphone and email configuration
  • Liaises with web domain company on NACC website issues
  • Tracks staff vacation and leave days; administers staff insurance benefits plan
  • Manages NACC memberships, accounts, business flight bookings, etc.
  • Helps to onboard new staff

Essential Qualifications:

  • Proficient with MS Office (Word, Excel, PowerPoint, Outlook and MS Teams)
  • Familiar with online programs: a) WordPress for website; b) MailChimp for email/newsletter distribution; and c) Wix for event registration
  • Good communications and team collaboration skills
  • English essential, some French is helpful

Working Arrangement:

This position is based in Ottawa, Ontario.  NACC staff enjoy remote and flexible working arrangements, although attendance at in-person meetings may be required.
